In short

What is Madata hotel management software?

Madata Hotel is a complete hotel management system, included from the TPE pack. It sells your rooms online and collects deposits, shows the rack for every room, keeps each stay's account, drives housekeeping, runs the night audit and syncs your calendars with Airbnb and Booking.com. From six to five hundred rooms.

The rack

Every room, every day, on one screen

Rooms as rows, days as columns. Move a stay from one room to another and extend it by drag and drop. Each bar carries the colour of the channel that sold the room, so the direct share reads without a legend.

The "Left" strip says how many rooms you still have to sell each night. Zero turns red: you are full, and that is the moment to raise your rates rather than find out the next morning.

The front desk

Today's arrivals and departures

Reception opens this screen in the morning and never closes it. Every row carries its channel, its room, whatever should worry you, and the action that moves the stay forward.

  • Assign, then check in

A stay without a room stays visible until it has one. The room offered is ready, or the row says so before the guest walks in.

  • Check out and invoice

Departure closes the folio, issues the invoice and frees the room, which switches straight to cleaning due for housekeeping.

  • Know who is sleeping in your hotel

Rooms occupied and people in house, to the minute. That is the number tomorrow's breakfast service needs.

Housekeeping

Every room's status reads as a colour

Green sellable, amber in progress, red to do, blue inspected. Nobody needs to read the label, and nobody assigns a room that is not ready.

  • Cleaning rounds

Rooms to be cleaned are split between room attendants, and each one sees their own list. A guest's departure flips their room to "to do" without anyone keying it.

  • Out-of-service rooms

A room under repair leaves the sale: it no longer shows in the booking engine's availability, nor in the calendars pushed to the platforms.

  • The link with reception

An arrival whose room is not yet made is flagged at the desk. That is the kind of detail that avoids keeping a guest waiting in the lobby.

The folio

The stay's account, extras included

Restaurant, bar, minibar, laundry, spa: everything the guest consumes lands on their bill. At the end, one invoice, in your books, with no re-keying.

  • Extras come from your catalogue

Each service is a product from your catalogue, with its price and its tax. A restaurant running on the Madata register posts its bill straight to the room.

  • Split a bill

The company pays the room, the guest pays their extras. Two folios, two invoices, two payers, on the same stay.

  • Transfer a line

A charge posted to the wrong room moves to the right one in a single gesture, before or after departure.

A credit limit can be set on a folio: beyond it, the dashboard flags the stay before the bill turns into a bad debt.

The night audit

The night works while you sleep

At the hour you set, the audit posts room nights, marks no-shows, lists what is off and locks the day. Nobody keys anything, and yesterday's numbers stop moving.

1

Post the room nights

Every occupied room posts its night and its city tax to the stay folio, at the rate of the chosen plan.

2

Mark the no-shows

An expected arrival that never showed up flips to no-show, with the fee its cancellation policy provides for.

3

List what is off

Stays without a room, folios over their limit, departures never settled: the audit lists them instead of burying them.

Lock the day

The past day can no longer be changed, and its metrics are frozen. That is what makes a hotel history hold up.

Each platform's commission is deducted in the calculation. A room sold for 60,000 F on a marketplace charging 18% does not earn 60,000 F but 49,200 F, and a hotel steering its rate on the displayed amount believes it is making money where it is losing it.

Online payment

Deposits land before arrival, not after

A blocked room is a paid room. The traveller pays the deposit at the moment they book, with the payment method they already use.

  • You set the amount

30%, 50%, the first night or a fixed amount. Without a deposit the room stays on option and releases itself when it expires.

  • The invoice follows the payment

The collected deposit produces its invoice and its matched payment. The balance stays outstanding until departure, with no manual reconciliation.

  • The provider's fee

You can pass it on as a separate line, and only on online payments: a guest paying at the desk does not carry it.

The module carries no payment code of its own: it opens your workspace's native checkout, and so inherits the connectors already configured for you.

Distribution

Sold anywhere, closed everywhere

Your Airbnb, Booking.com, Expedia and Agoda calendars sync with your rack both ways. No more double booking the day two platforms sell the same night.

MadataYour Madata rackOne availability, shared by every channel

Live on day one

iCal sync, both ways

Every platform publishes a calendar link per listing and accepts one in return. A booking taken on Airbnb closes the room on Booking.com and in your rack, and the other way round. Nothing to request, nothing to negotiate.

Going further

Channel manager connector

A calendar only carries dates. To steer rates and inventory too, and pull back complete reservations with their guests, the module plugs into a channel manager, which talks to every platform itself.

Worth stating plainly: neither Airbnb nor Booking.com opens its API on request. Airbnb requires approved Software Partner status, Booking.com certified Connectivity Partner status, and both applications take months. That is why the module ships iCal first, which works on installation day, and leaves rate steering to the channel manager.

Who it is for

From the guest house to the resort

The mechanics are the same at every size. What changes is how many screens you open each day.

5 to 15 rooms

Guest houses and villas

You were selling on Airbnb and over WhatsApp. You keep Airbnb, you add your own booking page, and you stop keeping a paper calendar on the side.

15 to 60 rooms

Independent hotels

One front desk, one housekeeper, one restaurant. The rack, the folio and the night audit are enough to run the property without hiring someone to key data.

20 to 100 units

Residences and aparthotels

Long stays, weekly and monthly rates, and billing the company housing its staff. The folio splits between the company and the occupant.

100 rooms and up

Resorts and groups

Several properties in one workspace, each with its own rates and teams, plus consolidated metrics. Permissions separate front desk, housekeeping and management.

Price

The Hotel module is included, not sold

There is no per-room licence, no commission on your direct bookings and no module to buy. The pack contains everything, and you activate the hotel in one click from your marketplace.

  • The whole Hotel module, with no limit on rooms or properties
  • Your front desk, housekeeping and management users, with separate permissions
  • Madata support over WhatsApp, in French
  • Onboarding training, free of charge

Why from the TPE pack: the booking engine collects deposits and issues an invoice. It therefore needs the payment providers and the accounting, two building blocks the Boutique and Entrepreneur packs do not have.

Frequently asked

What hoteliers ask us

Yes, and that is where it changes the most. You set up your six rooms in an afternoon, publish your booking page, and stop keeping a calendar alongside Airbnb. There is no per-room licence and no billing minimum: the module is included in the pack whatever the size of the property.

Your rooms deserve better than a notebook and a spreadsheet

Open your workspace, set up your rooms, publish your booking page. The Hotel module is included in the TPE pack, and the first stay can arrive the same day.
